When a call reaches TradieToolBox, here's what happens step by step — from the customer's first ring to the SMS landing on your phone.

The full call flow

Customer calls your number

Your phone rings as normal. If you answer, the call is completely normal — TradieToolBox never interrupts a live call.

You don't answer

After your chosen number of rings (usually 4), the call forwards to TradieToolBox automatically.

TradieToolBox answers instantly

The caller hears a friendly greeting — something like:
"Thanks for calling Smith Plumbing. The team are out on jobs at the moment — can I quickly grab a few details so someone can call you straight back?"

Details are collected one at a time

TradieToolBox asks one question at a time — name, phone number, postcode, problem description, urgency, and preferred callback time. It confirms everything back before ending the call.

Call ends

TradieToolBox thanks the caller and lets them know someone will be in touch shortly. The call is recorded and transcribed automatically.

You receive an SMS within seconds

A job summary lands on your phone within 30 seconds of the call ending. Everything you need to call back is right there.

What TradieToolBox will never do

  • Give quotes or prices to callers
  • Suggest callers attempt DIY repairs
  • Make promises about availability or response times
  • Tell callers it's an AI system
  • Diagnose problems or guess at causes

Tip

Gas smell calls are always handled as emergencies — the caller is directed to National Gas Emergency (0800 111 999) immediately, regardless of the time of day.

Out-of-hours calls

TradieToolBox knows your trading hours and adjusts its messaging accordingly. During working hours it says someone will call back shortly. Out of hours, it sets realistic expectations — letting the caller know you'll be in touch the next working day, while still capturing all their details.

Emergency calls (flooding, burst pipes, water near electrics) are always treated as high priority regardless of the time.
