Getting started

How long does setup take?

Less than 24 hours in most cases. We handle the entire setup. From configuring your assistant to testing it with a live call before going live. You don't need any technical knowledge. Should you wish to keep your existing number, you will need to set up call forwarding. We have documentation to support you with this.

Do I need to change my existing phone number?

No. TradieToolBox can work with your existing number using call forwarding. Customers dial the same number they always have. When you don't answer, the call is forwarded to TradieToolBox automatically. Alternatively, we are able to provide you with a seperate mobile business number.

What information do you need from me to set up?

Your business name, trading hours, service area (postcode radius), and any specific instructions. For example, whether you cover gas work or plumbing only. We'll walk through this in the onboarding call.

Can I try it before committing?

Yes. Book a free demo and we'll show you TradieToolBox answering a live call. You'll hear exactly what your customers will hear. There is no obligation to sign up.

How it works

What happens when I do answer the phone?

Nothing. TradieToolBox only activates when you don't answer. If you pick up the call yourself, it's a completely normal phone call. TradieToolBox never interrupts a live conversation.

How many rings before TradieToolBox picks up?

You can choose. We recommend a 10 second ring period, giving you a chance to answer first. If you choose to set up TradieToolBox using a new business number, we can configure this during setup and can change it at any time.

What does TradieToolBox say when it answers?

It introduces itself as your team's assistant, explains the team are out on jobs, and asks to take a few details. It never mentions AI or automated systems. You can hear an example on the demo.

What happens if a caller refuses to leave details?

Your assistant will handle this graciously. It thanks them for calling, lets them know they can call back, and ends the call. It never pressures callers or repeats questions excessively.

What happens if someone calls about a gas leak?

Gas smell calls are always treated as emergencies. Your assistant immediately directs the caller to the National Gas Emergency line (0800 111 999) and advises them to leave the property. It still captures their details after this step.

Calls & quality

Will it sound robotic?

No. TradieToolBox uses a natural UK English voice and is designed to sound like a real person. Most callers assume they're speaking to a member of staff. You can hear it for yourself on the demo.

What if the caller has a strong accent or speaks unclearly?

TradieToolBox is trained on a wide range of accents and speech patterns. If it mishears something, it asks the caller to repeat it, ust like a real person would. Details are always confirmed back during regular intervals on the call.

Can it handle callers who go off-script or ramble?

Yes. The AI is designed to gently steer callers back to the key questions without being abrupt. It's patient with nervous or upset callers, which is necessary in emergency situations.

Are calls recorded?

Yes, with the caller's consent (stated at the start of the call). Full transcripts are stored against each job record. Recordings can be accessed if there's ever a dispute about what was said.

Billing & plans

Is there a setup fee?

Yes, there is a small one-off setup fee depending on your plan. We will configure your assistant and have you live within 24 hours.

Is there a limit on how many calls TradieToolBox handles?

All plans include 100 calls per month per engineer — enough for the vast majority of plumbers. If you go over, additional calls are charged at £0.75 each. Plans are based on an average call duration of 3.5 minutes. Calls significantly exceeding this average may count as multiple calls against your allowance. We'll always give you advance notice before any overage charges are applied.

What counts as a 'call' for billing purposes?

Any call that TradieToolBox answers counts. Calls you answer yourself before TradieToolBox picks up are not counted.

Am I locked into a contract?

No. All plans are monthly and you can cancel at any time with no penalty.

Can I change plan?

Yes. Upgrade at any time. Changes take place within 48 hours. Downgrades take effect from the next billing cycle.

How do I cancel my subscription?

You can cancel at any time by emailing cancel@tradietoolbox.co.uk. We'll process your cancellation within 24 hours. You'll retain full access to TradieToolBox until the end of your current billing period — we don't cut off access immediately. There are no cancellation fees and no questions asked.

What happens to my data if I cancel?

Your job records and call history remain accessible for 30 days after your cancellation date, giving you time to export anything you need. After 30 days your data is permanently deleted from our systems. If you'd like your data deleted immediately upon cancellation, just let us know in your cancellation email.

Scheduling & integrations

Which calendar does it integrate with?

Google Calendar on the Pro plan. We're working on Outlook/Microsoft 365 integration. Contact us if this is important to you.

What CRM systems does it work with?

Job data is logged to Google Sheets on all plans. Pro and Enterprise plans support CRM integrations to the most popular CRM paltforms including HubSpot, Pipedrive, and others.

Does it work for multi-engineer businesses?

Pro supports up to 3 engineers. For larger teams, Enterprise is the right plan. Contact us to discuss your setup.
