How Booking Works

How TradieToolBox books jobs live during the call.

On the Pro plan, TradieToolBox doesn't just capture job details — it books the appointment during the call. The customer confirms a time slot before they hang up. No callback needed.

The booking flow

Job details are captured as normal

TradieToolBox collects name, phone, postcode, problem, and urgency — same as Starter.

Availability is checked in real time

TradieToolBox checks your Google Calendar live during the call. It looks at your existing bookings and finds open slots.

Slots are offered to the caller

Two or three available slots are offered verbally. TradieToolBox also considers location — it prioritises slots where the engineer is already nearby, reducing dead travel time.

Caller confirms a slot

The caller picks a time. TradieToolBox confirms it back and thanks them.

Appointment added to your calendar

The confirmed slot is added to your Google Calendar automatically — with the customer's name, phone, postcode, and problem description in the notes.

You receive your SMS alert

Your SMS arrives as normal, but now includes the confirmed booking time.

What if no slots are available?

If your calendar is fully booked, TradieToolBox lets the caller know and offers to take their details for a callback when a slot opens up. It never promises a time it can't keep.

Location-aware scheduling

TradieToolBox uses the caller's postcode to suggest slots where the engineer is already in the area. For example, if you have a job in SW11 at 10am, a new job in SW12 would ideally be slotted at 11:30am — keeping your day geographically efficient.

Tip

This works best when your calendar has existing jobs with postcodes in the notes. The more data it has, the smarter the suggestions get.

Cancellations and rescheduling

At the moment, cancellations and rescheduling are handled manually — you update your calendar directly. The customer receives no automated confirmation message unless you're using the WhatsApp follow-up feature (Pro).
